Who we are
This notice explains how Adorable Babies Crèche & Josémaria International School (“the school”) looks after the information in its school system and on the new-family Welcome form.

What we keep, and why
- New-family application (Welcome form): Your name and contact details, an emergency contact, who may collect your child, and your child’s name, date of birth, class, previous school and any allergies or medical conditions you choose to tell us. We use this information to process the application and to look after your child safely.
- School records once a child is enrolled: Attendance, fees and payments (including receipts), report cards, and the parent or guardian email address we send receipts and report codes to.
- Staff accounts: Name, username, the role and the apps each person may use, an email address (used to send the first sign-in invitation) and an optional phone number.
Who can see it
Only school staff who need the information for their work, and only the parts their role allows. Parents and guardians can see only their own child’s shared report cards, using the code the school gives them. We do not sell this information, and we do not share it for advertising.
Who helps us run the system
The school uses trusted service providers to store information and run the website. They handle it on the school’s behalf, and their computers may be outside Ghana. These providers are:
- A cloud database provider, which stores the school’s records.
- A web hosting provider, which runs the website.
- An email-sending service, which sends receipts and report-code emails.
- Private storage for the school’s weekly backups.
If you would like to know exactly which companies these are, please ask the school office.
This system is provided by Jotter, which looks after the school’s records only on the school’s behalf. You can read Jotter’s own privacy notice too.
What we do not do
The website has no advertising, no analytics and no recording of what you click or type. It keeps your sign-in and your choices (such as dark mode or the order of the app cards) in your own browser only. The fonts are served from this site, not from other companies.
How long we keep it
We keep a child’s record while they are enrolled, and afterwards only for as long as the school needs it or the law requires.
Your choices
You can ask the school office to show you the information we hold about you or your child, to correct it, or to delete it where we are able to do so. You can also ask us to stop emailing you. Children do not have accounts and cannot sign in. Information about a child is either given to us by a parent or guardian or recorded by the school as part of the child’s schooling.
Changes
If we change how we handle information, we will update this page and the date at the top.
